Build a Travel Booking Tracker You Can Keep Current

What should a travel booking tracker contain?

A travel booking tracker should connect each reservation to its provider, booking channel, original confirmation, service details, current status and next action. Give each record an owner and a last-checked date. Keep ideas separate from bookings and private details out of broadly shared versions. Treat the tracker as your working index: editing it does not change a reservation, and a completed row does not establish that travel is safe or permitted.

Start after you have made bookings. The purpose is to answer “What have I arranged, where is the evidence, and what still needs attention?” This is an original organizing method, with software examples checked against official documentation. We have not tested an app with your reservations or connected to a booking account.

Which fields make the record useful?

Create one record for each reservation you need to manage. If one confirmation covers several services, use related records with the same source reference and identify the relevant service in each. The tracker should let you distinguish a hotel stay from a transfer even when they arrived in the same email.

Here is a blank field structure to copy into a spreadsheet or document. Its labels are our editorial design, not an industry standard or a provider's status system.

Keep optional fields optional. A short rail journey may not need the same notes as a lodging reservation with several unanswered requests. Add a field when it answers a recurring question, rather than making the sheet wider because another template did.

For dates and clocks, use the provider's complete information. Our itinerary time-zone guide covers local dates and elapsed-time checks. This tracker should point to those verified details, not generate arrival dates from assumptions.

Why keep the provider and booking channel separate?

The company providing the room is not always the company through which you booked it. That distinction can determine whom to contact. For example, Hilton tells guests with third-party reservations to contact the third party directly to confirm, modify or cancel them. That is Hilton's stated route, not a universal rule for every supplier.

In your record, avoid the ambiguous entry “hotel website.” Name the channel you actually used and save its contact route from the booking information. A future question should have a destination: “Ask the booking agent to clarify the room description” is more actionable than “check hotel.”

Keep payment notes separate from service status. If a question concerns a charge, record the question and contact the relevant provider through its official channel. Do not use a spreadsheet label as evidence that a charge, refund or reservation has been resolved.

How should you collect confirmations?

Open each confirmation and create its record beside it. Save the source before shortening anything into a table cell. Use a file reference descriptive enough to distinguish the first confirmation from a later replacement, such as “STAY-A confirmation received 13 September.” That is an example naming convention; use the actual date for your own record.

An itinerary organizer can help collect information. TripIt's getting-started instructions describe forwarding confirmation emails to [email protected] or setting up Inbox Sync; other plans can be added manually. Decide whether you want to provide that service with your booking information before using it.

Importing is a collection step. Our recommended review is to place the source and imported entry side by side, check that they concern the same service, and record anything that still needs clarification. Do not mark a row reviewed merely because it appeared in an app.

Which status labels should you use?

Use two separate columns. Provider status records the source's wording. Review state describes your work on the record. This prevents your own green tick from being mistaken for a supplier's confirmation.

Our suggested review states are:

Keep unbooked ideas on a separate list. A restaurant you may visit should not resemble a restaurant reservation merely because both have a date beside them. For cancelled services, preserve what the provider confirmed and any follow-up question rather than turning every finished task into the same “done” label.

If you use Google Sheets on a computer, Google's dropdown instructions let you select the review-state cells and choose Insert → Dropdown. Enter your chosen values and select Done. The data-validation settings can reject values outside the list or show a warning instead. These controls regulate entries; they do not verify bookings.

What does a completed example look like?

The following is entirely fictional. The guest, property, dates and messages do not describe a real reservation, available room or current hotel policy. It shows the structure of one record, displayed vertically so it is readable.

The record does not fill the unanswered entrance field with the address of the nearest door on a map. It identifies the missing information and the person who will obtain it.

Once the fictional property replies, Alex can save that reply, add the entrance instructions and update the review state and last-checked field. The useful change is the supported answer, not the color of the cell.

Where do cancellation terms belong?

Link to the terms for the actual reservation. Hilton's cancellation help says policies vary by rate, reservation dates and hotel. Its website instructions place the cancellation policy below the stay dates in the reservation view. A general brand policy is therefore not enough to populate every booking's deadline.

Add a terms-reference field when needed, and keep the exact wording with its source. If a deadline's date, time or time zone is unclear, ask the booking provider. A reminder you choose for yourself is not a substitute for the terms. Do not infer a refund entitlement from a blank cell or from another reservation's policy.

How do you find the rows that need attention?

Start a review with records marked Needs clarification. Read the next-action field and decide whether you need to contact someone, check a reply or compare an updated confirmation. “Waiting” is not a complete action note unless it says what you are waiting for and from whom.

For a shared Google Sheet, Google distinguishes filters from filter views: an ordinary filter is visible to others with access, while a filter view applies to your view. On a computer, choose Data → Create filter view, apply the relevant filter and use Save View to save it. View-only users can create temporary views but cannot save them.

After reviewing that selection, return to the full record list. This is our suggested review habit so you do not overlook entries that were outside the selected group.

What needs checking when a booking changes?

Use the updated provider or agent confirmation to review the affected record. Keep an unanswered change request distinct from a confirmed replacement. Add the new source reference and state which earlier working entry it supersedes.

Do not assume an organizer has already caught the change. TripIt's flight-change help says free accounts do not automatically update flight information; changed confirmations need forwarding or adding through Inbox Sync. Its paid Pro service has flight monitoring, but that does not establish that your particular record has been checked.

Assign any resulting question to its own row. For example, a changed arrival may prompt a question to a transfer provider. The tracker records that question; it does not make a transfer change happen. Use our group-trip planning guide when several people need agreed responsibilities.

Who should have access to the tracker?

Share only the detail each recipient needs. Keep booking codes, identity documents and private confirmations out of a broadly shared summary.

Google Drive's sharing guidance distinguishes Restricted access from Anyone with the link and offers Viewer, Commenter and Editor roles. Check the parent folder too: inherited access can give someone more permission than the individual file setting suggests. Our recommendation is a restricted working record and a separate minimal summary for other recipients.

Before relying on either version, ask an intended recipient to check that the necessary information is readable. After an update, identify which version they should use. Should my tracker include trips and activities I have not booked?

Keep unbooked ideas on a separate list. In the working reservation tracker, distinguish the provider's stated status from your own review state. Our suggested labels describe the work still needed on each record; they do not make an idea into a booking or establish that travel is safe or permitted.

Will a free TripIt account automatically update changed flight details?

TripIt says free accounts do not automatically update flight information. Forward the changed airline or agent confirmation, or add it through Inbox Sync, for the change to appear in the itinerary. Check the resulting record against that confirmation. A change requested from a provider is not the same as a confirmed replacement.

Can I use one hotel cancellation deadline for every booking?

No. Hilton, for example, says policies vary by rate, dates and hotel. Refer to the actual reservation terms and retain their wording with the source. Ask the booking provider about unclear dates, times or time zones. Your own review reminder does not change the contractual deadline or establish refund entitlement.

How can I filter a shared Google Sheet without changing everyone's view?

Use a filter view rather than an ordinary filter. Google says filter views apply to your own view of the spreadsheet. On a computer, use Data, then Create filter view. View-only users can make temporary filter views but cannot save them. Return to the complete list when your review is finished.

Can a status dropdown check whether a reservation is valid?

No. A dropdown controls which values can be entered; it does not contact the booking provider or verify a reservation. In Google Sheets, select the cells and use Insert, then Dropdown. Keep your review-state labels separate from the provider's wording and compare the record with its source before marking it reviewed.
